Ringbind is designed as a privacy-first document management platform that prioritises secure storage, minimal data collection, and user control.
By using the Application, you agree to the practices described in this Privacy Policy.
1. Overview
Ringbind allows users to securely store, organise, and manage personal and business compliance documents.
This includes:
- Personal document management
- Compliance tracking (for example, FICA)
- Business document storage for up to 50 companies, depending on subscription
2. Information We Collect
A. Account Information
We may collect:
- Email address (for account creation, authentication, and recovery)
- Name (for profile identification)
- Internal user ID (system-generated)
B. User Content
You may upload and manage:
- Personal documents
- Business documents (for up to 50 businesses depending on subscription)
- Document metadata (for example, type, issue date, expiry date)
- Business profiles (names and associated records)
- Dependent profiles (if used)
C. Authentication and Security Data
We process:
- Authentication tokens and sessions
- OTP verification data
- Device-based security credentials (for example, a PIN stored locally)
- Optional recovery keys
D. Subscription and Billing Data
We process limited data required for subscriptions:
- Subscription status
- Entitlement access
- Purchase events
This is handled through third-party providers such as RevenueCat and the App Store.
E. App Functionality Data
We may store:
- Reminder schedules (for example, expiry alerts)
- Export activity (timestamps and document references)
F. Technical Data
We may process:
- Error logs
- Basic system data required for authentication and syncing
3. How We Use Your Data
We use data to:
- Create and manage user accounts
- Authenticate and secure access
- Store and organise documents
- Enable document tracking and reminders
- Support subscription functionality
- Enable document export and sharing
- Provide account recovery and deletion
- Maintain security and prevent misuse
4. Data Storage
On Device
- Documents are stored locally as encrypted files
- Local database records and reminders
- Device-based security credentials
Cloud (where enabled)
- Account and profile data
- Business and document metadata
- Encrypted file storage (if synced)
Third-Party Services
- Subscription data via RevenueCat
- Payment processing via Apple App Store / Google Play
5. Data We Do Not Collect
Ringbind does not:
- Sell personal data
- Use advertising trackers
- Build behavioral advertising profiles
- Access or review document contents beyond required processing
6. Business Document Storage
Ringbind supports managing documents across multiple businesses.
Depending on your subscription, you may store documents for up to 50 businesses.
Each business:
- Has its own document set
- Is managed independently within your account
- Is subject to the same privacy and security protections
7. Permissions
Ringbind may request access to:
- Camera (for scanning documents)
- Files / photo library (for uploads)
- Notifications (for reminders)
These permissions can be controlled in your device settings.
8. Data Retention
- Account data is retained while your account is active
- Documents remain until deleted by you
- Local data remains on your device until removed or the app is uninstalled
- Subscription data is retained as required for billing and access
9. Account Deletion
Users can delete their account in-app.
When an account is deleted:
- Cloud data is permanently removed
- You may choose whether to remove local data from your device
- Local data may remain if you choose not to delete it
Ringbind cannot recover deleted data.
10. Data Sharing
We only share data with service providers required to operate the app:
- Supabase (authentication, database, storage)
- RevenueCat (subscription management)
We do not sell or share personal data for advertising.
11. Security
Ringbind uses reasonable technical measures to protect data, including:
- Local encryption of documents
- Secure authentication systems
- Controlled cloud access
However, no system is completely secure. Users are responsible for securing their devices.
12. Children and Dependents
Ringbind is not directed at children.
Users may store documents relating to dependents (for example, children), but:
- This data is controlled by the user
- Ringbind does not independently collect children’s data
13. International Data Transfers
Data may be processed in jurisdictions outside your country depending on infrastructure providers.
Appropriate safeguards are applied where required.
14. Changes to This Policy
We may update this Privacy Policy from time to time.
